AI Receptionist for Tradies: Answer Calls While You Stay on the Tools

An AI receptionist can answer enquiries, collect job details and arrange the next step while you work. Here is how it operates, what it should cost you to compare, and where hiring a person still makes sense.

The cost of a call you cannot answer

You are under a house fixing a leak when your phone rings. Getting to it means stopping work, finding somewhere quiet and asking the customer to repeat their address. Ignoring it could mean losing the job.

For plumbers, electricians, builders and roofers, this is a daily problem. Calls arrive when answering them is inconvenient, unsafe or impossible.

An AI receptionist for tradies answers those calls and follows instructions you approve. It can collect job details, check your service area and arrange a callback or booking. The useful question is whether it handles enough routine work to justify its cost.

What happens when a customer calls?

You can divert all calls to the receptionist, send calls through after a set number of rings, or use it only outside business hours.

A typical plumbing enquiry might follow this sequence:

    1. The receptionist identifies your business and explains that it is an automated assistant.
    2. It asks what has happened and whether there is an immediate safety concern.
    3. It collects the caller's name, phone number, suburb and street address.
    4. It checks whether the location and job type match your rules.
    5. It offers an approved booking window or confirms that someone will call back.
    6. It sends you a summary through your agreed system.

Instead of a voicemail saying, “Give me a call,” you receive something useful: “Blocked kitchen drain in Preston. Customer available after 2 pm. Wants the callout fee confirmed before booking.”

That lets you decide what needs attention without listening to several messages between jobs.

What should it handle while you work?

    Collecting the right job details

Different trades need different questions. An electrician may need to know whether the issue affects one circuit or the whole property. A roofer needs the roof type, access details and whether water is entering the building.

Keep the questions short. The goal is to prepare the next step, not make a caller complete a lengthy interview.

For quoting work, the receptionist can send a link for photos if your system supports it. It should not invent a price from a vague description.

    Booking within your actual capacity

Direct booking is useful only when the calendar reflects how you operate.

A maintenance plumber might allow bookings for standard appointments in selected suburbs. A builder may only want site visit requests collected for review.

Set rules for travel time, job duration, service areas and daily capacity. If the calendar connection fails, the receptionist should collect a request rather than promise an appointment.

    Escalating urgent calls

An urgent call needs a clear process, not a reassuring guess.

You can configure transfers or alerts to an on call person. You also need a fallback if nobody answers. The system must not promise emergency attendance unless that service is genuinely available.

For immediate danger, use approved instructions directing callers to emergency services, 000 in Australia or 111 in New Zealand. Avoid letting the receptionist improvise technical safety advice.

AI receptionist costs compared with hiring

The comparison needs more than a monthly software price. A human receptionist can exercise judgement, manage complaints and help with invoicing or scheduling. An AI receptionist usually covers a narrower set of tasks.

The following figures are illustrative planning assumptions in AUD, not supplier quotes or an award wage assessment. Figures exclude GST where applicable.

    Employing a receptionist in Australia

Assume you budget $65,000 a year in base salary for a full time receptionist.

At a 12% superannuation rate, employer super adds $7,800. Allow another $2,000 for equipment, software and recruitment spread across the year.

That gives an indicative annual cost of $74,800, or about $6,233 a month.

Paid leave is included in the salary, but replacement coverage during leave is not included in this estimate. Workers compensation, payroll tax where applicable, overtime and other employment costs can add more. Check the applicable award, classification and current obligations before budgeting.

A single employee also cannot provide continuous coverage. However, that person may perform valuable work well beyond answering calls.

    Using an AI receptionist

For comparison, assume a service costs $650 a month, plus $120 in call usage and telephony charges, with a $1,500 setup fee.

The ongoing cost is $770 a month. The first year totals $10,740, including setup, which averages $895 a month.

Against the staffing example, the first year difference is $64,060. That is a difference in expenditure, not a guaranteed saving. If you still need someone for administration, those staffing costs remain.

Ask suppliers about included minutes, overage rates, transfers, SMS charges, integrations and support. A low advertised fee is not necessarily your total bill.

New Zealand businesses should repeat this calculation in NZD using local wages, employer KiwiSaver obligations, ACC levies and applicable employment costs. Do not simply reuse Australian assumptions.

Worked example: a small plumbing business

Consider an owner operated plumbing business with one apprentice. The owner currently handles calls between jobs.

Assume the AI receptionist captures 20 genuine enquiries a month that would otherwise go unanswered. Eight become completed jobs, each producing $320 in revenue excluding GST.

That means $2,560 in additional monthly revenue.

Now allow $140 per job for materials, travel and delivery labour. The contribution before receptionist costs is $180 per job, or $1,440 across eight jobs.

Subtract the $770 monthly receptionist cost. The business has $670 left before setup costs, tax and other overheads.

Including the setup fee spread across the first year reduces that figure to $545 a month. At these assumptions, five additional jobs a month would cover the average first year receptionist cost.

The important word is additional. Existing customers who would have called again are not automatically new revenue. You also need capacity to complete the extra jobs without expensive overtime.

What to check before switching it on

Run a small trial before routing every call through the system.

    1. Test realistic calls, including background noise, unfamiliar suburb names, complaints and requests outside your service area.
    2. Confirm where customer information is stored, who can access it and when it is deleted.
    3. Check applicable Australian or New Zealand privacy and call recording requirements. Make any required disclosures and obtain consent where necessary.
    4. Test failed transfers, calendar outages and callers who want a person.
    5. Review summaries and booking accuracy regularly, especially during the first month.

Track qualified enquiries, completed jobs, booking mistakes and total cost. Call volume alone does not tell you whether the service is helping.

Choose coverage that fits your business

An AI receptionist makes sense when routine calls interrupt paid work and a full time hire would be hard to justify. A person is often the better choice when calls involve complex decisions or substantial administration.

You can also use both, with AI covering overflow and evenings while a person handles exceptions.

    Frequently asked questions

Can an AI receptionist answer calls while I am on the tools?

Yes. You can divert all calls, unanswered calls or calls outside business hours. It can collect job details and arrange an approved next step without interrupting you for every enquiry.

How much does an AI receptionist cost compared with hiring?

The illustrative example uses $770 a month in ongoing AI costs plus $1,500 for setup. The Australian employee example totals $74,800 annually before some additional employment costs. Actual quotes and staffing requirements will vary, and the two options do not provide identical services.

Can an AI receptionist book jobs directly?

Yes, if it has a suitable calendar connection and clear rules for availability, service areas, travel and job duration. For complex work, collecting a booking request for review is often more appropriate.

Should an AI receptionist handle emergency trade calls?

It can follow an approved escalation process and attempt to contact your on call person. It should not improvise safety advice or promise attendance that you cannot provide.

How can I decide whether it suits my trade business?

Compare your unanswered enquiries, contribution per completed job, available capacity and total service costs. For help working through those numbers, you can book a 45 minute AI growth session with RT Digital.
